Booking requests can be made by contacting union@ouhsc.edu. Those who book space in the Union are bound by the facility rental policies listed below.
All groups reserving in the HSC Student Union must agree to terms outlined in the Facilities Use Agreement.
For certain events, such as those involving high-risk activities or minors on campus, additional follow-up may be required.
All catering, including any food or beverage brought into the facility, must receive approval from the HSC Student Union staff prior to the event. Food will not be permitted inside the facility without first receiving approval.
When booking, please indicate as soon as possible whether or not catering will be present, and the name of the vendor utilized.
- Vendors must meet all minimum food safety and licensing standards, as required by the Oklahoma State Department of Health. These guidelines can be found here.
- Vendors must be a part of the University of Oklahoma Health Sciences Center vendor system.
- For bake sales, all items must be homemade. No store-bought items will be permitted. Items should be made on a donation-basis only.
Groups are responsible for providing their own tablecloths, utensils, and all necessary equipment. Tablecloths are required.
The HSC Student Union follows the University of Oklahoma Health Sciences Youth Protection policy.

The following considerations are made when determining the status of a Group Type: - Source of payment - Point of contact - Anticipated audience - Purpose of event
The HSC Student Union is excited to host a variety of student-focused events on campus by both University departments and Registered Student organizations. Rates for the latter will apply only when booked via Web EMS by an organization in good standing for the current term. Groups benefitting the student population, but organized primarily or funded primarily by University departments will be considered University events.
The Non-University rate may apply to organizations discovered fronting.
Groups are invoiced within a month following the event.
The HSC Student Union is a Service Unit on campus. Payment may be remitted via: SUR, check, wire transfer (for University departments), or credit card.
